Software, AI & Business Systems

Connect the systems, data and work your team depends on.

When information is re-entered, systems disagree or a key workflow relies on manual hand-offs, we help define the problem and compare repair, configuration, integration, automation and selective build options.

Common problems

When to ask for help

  • Teams copy information between email, spreadsheets and business systems.
  • Order, stock, fulfilment, finance or customer records do not stay aligned.
  • Reports arrive too late or require repeated reconciliation.
  • An ERP or CRM change is planned, but scope and migration risk are unclear.
  • Repetitive information work may suit bounded automation or AI.
  • An existing platform works partly, but a defined integration gap remains.

Decision

Configure, connect, build—or leave the system alone?

We compare the cost and risk of the current process with lower-risk changes, supported products, existing capability and a bounded technical gap. A custom build is recommended only when a material need remains.

Architectural clarity

From disconnected silos to an accountable core.

Compare how data moves through isolated spreadsheets and email hand-offs versus a joined-up operational platform.

System view:

Illustrative workflow — features and results depend on the agreed system.

Silo 1Orders & Enquiries

Manual spreadsheets & email inboxes

⇢Repeated entry
Silo 2Inventory & Operations

Standalone spreadsheets or older database

⇢Delayed hand-off
Silo 3Finance & Accounts

Separate accounting tool with manual reconciliation

Operational friction:Repeated data entry, delayed reporting and difficulty tracking work across teams

ERP & Odoo scope

Odoo implementation and business systems experience

Rather than building complex accounting, stock or CRM engines from scratch, NovaDot brings practical experience implementing, configuring, and supporting Odoo ERP alongside tailored software where custom capability is strictly justified.

Configuration & Setup

Tailoring standard Odoo modules (Sales, Invoicing, Inventory, CRM, Accounting) to your operational workflow.

Bespoke Customisation

Developing dedicated Python modules and custom views when standard features do not fit your required process.

Data Migration

Structured legacy data cleansing, reconciliation, and verified migration from older ERPs, databases, or spreadsheets.

API & System Integration

Connecting Odoo with websites, portals, payment services and supported banking integrations.

AI & Workflow Automation

Start with one repeatable task, suitable data and a way to check outputs. We explore scoped pilots with clear approval checks.

AI in practice

From invoice documents to a reviewable summary

This example uses three fictional invoice and receipt text files to prepare a summary of supplier, document number, date, net amount, tax amount, total and payment status. One document does not show its tax amount, so that field is marked for human review. The demonstration fills a sample bookkeeping form; it does not post to a live accounting system.

Step 1

Input Text Records

Three fictional plain-text records: invoice-1007.txt, invoice-missing-tax.txt, and receipt-phone-repair.txt.

Step 2

Extracted Summary

Automated parsing extracts vendor name, document ID, date, net subtotal, tax amount, total, and payment status.

Step 3

Exception Flagged

The cleaning invoice does not show a tax amount. The pipeline marks that field as needs review instead of guessing.

Step 4

Human Verification

A designated reviewer checks the missing tax field, confirms correct VAT treatment, and approves draft entry into a demo form.

Sample deliverable

What you receive: workflow and data integration specification

Before any configuration or software build begins, we produce a clear, reviewable specification so all parties agree on the data model, system boundaries, and hand-offs.

Starting problem

Order and customer data is re-entered manually from web orders into spreadsheets and accounting, causing fulfillment delays and reconciliation gaps.

Example outputs included in the pack
  • System boundary map: Diagram showing the authoritative source for customer, stock, and financial records.
  • Field-level mapping sheet: Explicit translation table (e.g., checkout line items mapped to ERP chart of accounts and tax codes).
  • Validation & exception rules: Documented handling for missing tax IDs, duplicate order numbers, and currency conversion.
  • Acceptance test checklist: Step-by-step verification scenarios with test data for client sign-off.
What the client supplies

Sample anonymised export records, current workflow descriptions, and availability of team members who process daily orders.

What needs separate agreement

Live bi-directional multi-system synchronization, legacy data cleansing, custom third-party ERP module development, or out-of-hours deployment support.

Good fit

Good fit

  • one material workflow and accountable owner;
  • safe access to representative, redacted evidence;
  • a defined consequence and decision window; and
  • willingness to compare products, partners and smaller changes.

Project alignment

Before we quote

  • We agree whether an initial assessment is needed, what it includes, and any fee.
  • We agree what delivery milestones and ongoing support we can commit to.
  • We ensure the project has a clear scope and a named person to approve decisions.
  • We compare the options honestly before recommending any custom build.
